    What You'll Do: 

    This role serves as the interface between our Service Delivery teams and our Finance team. You'll work 40 hours a week - when and where you work those hours are flexible, but we'd like someone close to Brisbane as that is where our office is and we would like some in-office support.

    You will support project management and provide governance for our growing Australian team. You'll play a critical part in keeping our business running smoothly, acting as a Business Partner to the Australian leadership team by providing project support, oversight, and visibility, aiding our organizational growth, and supporting our increasing client needs. This is a very detail-oriented project administration role with a lot of projects and a lot of moving parts.

    Project Operational Support:

    • Provide project management and governance support to the Australian team, and wider global teams, as required
    • Process project set-up forms, and variation requests, create and maintain schedule and budget tracking spreadsheets, monitor budgets, order materials , and various internal and client reporting
    • Coordinate project financials (budget tracking, reporting, coding, invoicing, and procurement)
    • Prepare and issue invoices to clients in line with PSC requirements and in compliance with contractual requirements and obligations
    • Maintain SharePoint and office filing/archival system for project documentation, ensuring compliance with PSC’s quality systems and business documentation standards
    • Ensure project documentation is kept at a high standard, is correctly identified and recorded, in line with PSC procedure and audit requirements
    • Implement project closeout as required and run Project Closure Review meetings for the AUS team, tracking and maintaining a database of results
    • Contributing to monthly management reporting and meetings
    • Organising and running monthly Project Status Spreadsheet triage meetings
    • Attending WIP meetings and providing the Finance Team with updates on monthly WIP report
    • Maintaining at Risk Register

    Finance Support:

    • Day to Day operational support to the Australian Leadership team – meeting room and accommodation bookings for quarterly meetings.
    • Management of AUS corporate credit card and monthly expense reporting
    • Assist with tracking and progressing Accounts Receivable items – liaising with clients and PSC project managers to secure payment
    • Assisting with internal and external audits of Australian and wider PSC teams
    • Induction/onboarding of new Australian employees for Operational systems training

    We’d love you to have:

    • Experience in a Project Administration role, preferably from a similar environment where projects which mainly consist of labour/hours worked.
    • Familiarity with office systems for project management, time sheeting, and customer relationship management systems (OpenAir and NetSuite preferred).
    • Experience with invoicing, specifically where there are complex client requirements.
    • Experience performing numerical analysis using tools such as Microsoft Excel.
    • Knowledge of IT communication applications – Outlook Mail & Calendar, and Teams.
    • Familiarity with Adobe Acrobat Professional and SharePoint.
